2. Personal data we may collect
Depending on how you use PDANexus, we may process professional contact information such as your name, company, business email, telephone or WhatsApp number and website.
RFQs may contain port-call, vessel, operational and service information, together with attachments supplied by the requester. Supplier applications may include company information, service capabilities, port coverage, certifications and additional information supplied during the review process.
We may also process technical and security information generated when the platform is accessed, where necessary to operate and protect the service.
3. Why we process personal data
We process data to receive and manage RFQs, identify relevant maritime suppliers, communicate about requests, manage supplier applications and reviews, operate the platform, prevent misuse, maintain records and comply with applicable legal obligations.
Where processing is necessary to respond to a request or supplier application, the legal basis may be steps taken at your request before entering into a contract or performance of a contractual relationship. Platform security and normal business administration may also rely on the controller's legitimate interests, balanced against the rights of the individuals concerned.
Where consent is legally required for a separate purpose, such as certain marketing communications or non-essential tracking technologies, consent will be requested separately and may be withdrawn at any time.
4. RFQ sharing and recipients
RFQ information may be transmitted to selected maritime suppliers where this is necessary to obtain a response to the request. PDANexus is designed to limit disclosure to information relevant to the RFQ and its processing.
Personal data may also be processed by service providers supporting hosting, database infrastructure, file storage, email delivery, security and other technical operations. Such providers act under appropriate contractual and data-protection arrangements where required.
5. International data transfers
Some technology providers may process data from locations outside the European Economic Area. Where a transfer is subject to Chapter V of the GDPR, the controller will use an applicable lawful transfer mechanism and appropriate safeguards as required.
6. Retention
Personal data is retained for as long as reasonably necessary for the RFQ, supplier review, platform relationship or other purpose for which it was collected, and afterwards for any period required to comply with legal obligations or establish, exercise or defend legal claims. Data that is no longer required will be deleted or anonymised where appropriate.
7. Your data-protection rights
Subject to the conditions established by applicable law, you may request access to your personal data, rectification, erasure, restriction of processing, portability, or object to processing. You may also withdraw consent at any time where processing is based on consent, without affecting prior lawful processing.
Requests may be sent to admin@pdanexus.com. You also have the right to lodge a complaint with the Spanish Data Protection Agency (AEPD).
8. Security
PDANexus applies organisational and technical measures intended to protect personal data against unauthorised access, loss, alteration or disclosure, taking into account the nature of the information and the risks involved.
9. Business users
PDANexus is designed for professional maritime activity and is not directed at children. Users should avoid including unnecessary personal information in free-text fields or attachments.
10. Updates to this policy
This policy may be updated to reflect changes to PDANexus, its service providers or applicable law. The current version and update date will be published on this page.
